We are looking for a talented and motivated Board and Council Coordinator to support ECFR Senior Management Team. The right candidate will have the ability to think one step ahead and generate collaborative relationships across ECFR, they will be working with the Director and Deputy Director Operations to ensure the Board of Trustees and ECFR’s Council receive a high-quality service, active engagement and experience. We need a dynamic and organised self-starter who can bring energy to support our work with our brilliant Trustees and Council Members. The core elements of the position will be to coordinate all Board matters internally and externally, liaising with colleagues across the organisation and Trustees themselves on a regular basis and to support the work of the Board’s Membership Committee and implement Council engagement strategies and activities.

Act as a focal point for all Board matters
Act as the main point of contact for any general enquiries or requests from Trustees, maintaine records and liaising with Trustees and Council Members.
Provide administrative support for the effective functioning of the Board, including maintaining up-to-date records and list of Trustees on website.
Work with colleagues across the organisation to log trustee contribution and involvement in ECFR’s work.
Support the Director and Deputy Director to proactively seek ways to improve trustee experience and stewardship.
Coordinate Board meetings and calls, ensuring they run effectively
Organise the logistics for the meetings and calls, including managing attendance, room bookings, catering, IT and trustee liaison.
Commission, collate, quality check and distribute documentation for Trustees.
Take minutes at Board meetings and calls.
Work with the Deputy Director to ensure documentation for Board meetings are high quality and fit for purpose.
Support the work of the Board’s Membership Committee
Support the work of the Board’s Membership Committee in its involvement in all stages of the Council membership lifecycle i.e. the annual recruitment process, member onboarding and engagement at ECFR’s Annual Council Meeting.
Organise Committee meetings, including collating papers and taking minutes.
Implement Council engagement strategies and activities
Work with the Deputy Director, design and implement Council engagement strategies including but not limited to telephone briefings, public statements and regular written updates to members.
Work with the Deputy Director, oversee Council Member engagement in countries where ECFR has no formalised presence.
Provide advice and assistance to ECFR’s programmes and Advocacy and Communications Team on engaging Council Members in their activities, including fundraising initiatives.
Oversee and maintain the database of ECFR Council contacts including the list of Council Members on the website.
Undertake other activities in support of the Deputy Director’s role to ensure organisational goals and targets are reached
Proven relevant experience of high level stakeholder/Board engagement, within a busy and demanding environment preferably in the charity or NGO sectors.
Excellent interpersonal skills working with people at a senior level.
Effective communication skills in both written and verbal English language; knowledge of German an advantage.
Highly developed organisational and administrative skills; an ability to multi-task.
Excellent attention to detail and the ability to follow tasks and ideas through to completion.
Flexible, positive and can-do approach to problem-solving.
Ability to prioritise workload and work without extensive supervision.
Advanced level MS Office, in particular Word, Outlook and Excel.
